BACKGROUND
Initially created as a centralized hub for all employee information
CHALLENGE
Why the Old Dossier Didn’t Work
The employee dossier, central to ZingHR’s platform, suffered from poor usability and unclear navigation, leading to wasted time, compliance risks, and reduced trust in the system. Simplifying access to employee records was critical for HR, managers, and employees to work efficiently
THE PROCESS
solving one problem at a time
In the About Me section, users found odd underlines and scrollbars distracting, weren’t sure if the “Update Details” button applied to one section or all, and got prompts to update even when nothing had changed, causing plenty of confusion
Scrollbars, Underlines, and Update Button problems
Swapped out the old vertical tabs (About Me, e-PMS) for a primary navigation menu on the left that opens up on hover. Inside About Me, the sections were turned into horizontal tabs, each with its own “Update Details” button so users always know exactly where they’re making changes.
The purpose of the CTA button wasn’t clear.
Concern arose about how more than five top tabs would fit on the screen
Information didn’t look editable
linkedin as an inspiration
I drew inspiration from LinkedIn, where all information lives on one scrollable page, neatly divided into sections. This familiar pattern reduces confusion, scales easily, and lets people focus on content instead of navigation
All employee details on one page
Option to edit personal details, contact details, Bank Details, Coordinates, Identity Proofs, Family member details
Continuous scroll for scalability
ADDING FINAL TOUCHES
Bringing the Design to Life
Brought in ZingHR’s brand colors, added profile status, used photos that feel like real employees, and filled the timeline with realistic data, testing with long names to make sure the design scales well.
IMPACT
How the Experience Improved
The redesigned Employee Dossier made information faster to find and easier to update, eliminating confusion caused by unclear icons and prompts. The long-scroll layout improved scalability, ensuring the system could grow with new data and modules. By adopting familiar patterns inspired by LinkedIn, the design built user confidence and lowered the learning curve, positioning the dossier as a reliable single source of truth across ZingHR
Looking Back
Reflection
The Employee Dossier project was a challenging yet rewarding experience due to the tight 30-day timeline and the complex requirements. I had to incorporate essential features such as displaying basic information in two languages, work experience timelines, contact details, skills, bank information, and addresses. Additionally, the user was given the ability to edit only specific fields, which added a layer of complexity to the design. A key consideration was that users had been relying on a previous version of the module for a long time, so it was crucial to ensure no important data from that version was lost. Balancing all these elements while respecting existing user needs taught me how to prioritize features, manage time efficiently, and maintain user-centric design under constraints.
